The electronic medication administration record (eMar) in iCareNZ streamlines medication rounds, reduces errors, and creates a permanent audit trail. This guide walks you through the complete process.
Good to know
You'll need nurse-level or carer-level access to complete medication rounds. If you don't see "Medication Rounds" in your dashboard, contact your facility manager.
Starting a Medication Round

Navigate to Medication Rounds
From your dashboard, tap "Medication Rounds" in the sidebar. Select the current time slot — Morning, Midday, Evening, or Night. The system will show all medications due for that period across your assigned residents.

Tip: The system automatically sorts medications by resident and time slot. Overdue medications are highlighted in red at the top of the list.
Administering Medications

Verify and Administer Each Medication
For each medication, confirm the right resident, drug, dose, route, and time. Tap "Administer" to record the dose. If a dose is refused or missed, select the reason from the dropdown list — this creates a clear audit trail.

Important
Never administer a medication without completing all five checks (right resident, drug, dose, route, time). If anything looks incorrect, stop and contact the prescribing clinician.
PRN Medications

Record PRN Medication Details
For "as needed" (PRN) medications, record the reason for administration and the outcome. This information is important for care reviews and compliance reporting. PRN entries appear in the resident's medication history alongside scheduled doses.

Compliance Note
Under NZS 8134:2021, PRN medication usage must be reviewed regularly. Frequent PRN use may indicate a care plan change is needed.
Completing the Round

Review and Complete
Once all medications are administered, tap "Complete Round." Any missed doses will be flagged for follow-up. The round record is timestamped and saved permanently — it cannot be edited after completion.

Best Practice
Complete each round as close to the scheduled time as possible. Late administrations should include a note explaining the delay.

Frequently Asked Questions
No. Completed rounds are locked for audit integrity. If you made an error, contact your facility manager to create a correction entry that references the original round.
Missed doses are flagged in the system and appear on the follow-up dashboard. Your facility manager will be notified, and the reason for the miss is recorded in the audit trail.
Yes. Open the resident's profile and navigate to the "Medication" tab. You can filter by date range, time slot, or medication type. The history includes all administered, refused, and PRN entries.
